Events Planning Committee (EPC) Mandate: The Society of Saint Vincent de is a lay Catholic organization animated by Christ and His Church and is thereby committed to the principles of diversity, inclusion, and equity in society by “living the Gospel message and serving Christ in the poor with love, respect, justice and joy.”

Reporting to the Board of Directors, the Committee is responsible for the planning and execution on the ONRC events such as the Spring and Fall Assembly meetings, Annual General Meetings and any other Vincentian events as directed by the Board. The committee is to provide ongoing guidance and support with all ONRC led events.

Committee Membership:
Membership shall include the President (Ex-Officio), at least one member of the Board of Directors, and two or more others (not necessarily Vincentians) who are committed and knowledgeable about event planning and execution activities. The membership is as follows:

Duties & Responsibilities:
  • Make recommendations to the Board regarding Event Planning Best Practices which encourages optimal efficiency and cost-effectiveness of executing ONRC events.
  • To promote the Boards mandate to encourage the education and development of members through ONRC Meetings and Workshops which encourages Vincentian camaraderie for the Board, its members, Committees, Councils and Conferences and all Vincentian members.
  • Draft and/or make recommendations to the Board regarding its mandate to execute ONRC events and inform Vincentians about the importance and value of ONRC events and its impact in our society.
  • To endorse the Boards mandate with the promotion and expansion of the Society in the region, by highlighting (and cross-fertilizing) the local Host Vincentian works and activities to the Vincentian membership.
  • To work with the Board in the development of Event Planning Guides and Tools documentation.


Meetings: A minimum of eight meetings per year, in person or by electronic means
The Committee Chair/Member may require a special on-site meeting to visit the local Host to inspect event amenities and logistics requirements.

Reporting:
The Events Planning Committee shall prepare and submit an annual plan and budget for its activities, for approval by the Board, in line with the strategic priorities set by the Board. The Committee shall report to the Board on progress against its plan quarterly, or as directed by the Board.
